Accounts Payable/Payroll Clerk
Full-Time (64 Hours per pay)
Position Summary:
The Accounts Payable/Payroll Clerk, under the direction of the CFO, performs a wide variety of duties in support of the accounts payable/payroll function.
Tasks associated with this position are performed in accordance with the policies and procedures of Highland Health Providers.
Position Accountabilities: Accounts Payable Invoice preparation for posting.
Distributes invoices to respective departments for approval.
Enters invoices, check requisitions and expense reports into the computer system for payment.
Initially processes invoices with allowable discounts in accordance with vendor terms.
Communicates with leads to ensure accurate recording or expenses for items.
Sets up new vendors and obtains W-9 information.
Manages vendor inquiries and correspondence including review and reconciliation of vendor statements.
Prepares open invoice list.
Processes vendor checks on a weekly basis to which includes initiating the “Positive” pay software.
Closes the accounts payable on a monthly basis.
Responsible for preparing year end 1099’s and related tax reporting documents.
Assists during financial audits with independent public accountants.
Communication with department managers and other hospital personnel regarding expense reimbursement and other questions.
Performs other duties as assigned.
Payroll Compiling necessary time and attendance data from the HHP’s automated timekeeping system in order to perform bi-weekly payroll.
Performing data checks to ensure completeness and accuracy of required payroll information.
Maintain and update the payroll system for employee tax deductions upon notification by the employee.
Maintain and update employee benefit elections.
Maintain detailed schedules and ensure proper periodic deductions for employee’s personal expenses elected to be paid by payroll deduction.
Provide information for journal entries to Accounting on a timely basis.
Electronically transmits direct deposit payroll and required payroll taxes on a timely basis.
Reconcile employee insurance benefit invoices to ensure proper coverage by Highland Health Providers before submission for payment.
Prepare invoices and check requisitions for payment approval.
Reconcile payroll liability to payroll withholding accounts as required to complete and file periodic payroll tax reports.
Works with Administrative Assistant, Human Resources and other departments to ensure accuracy of payroll data, timekeeper interface, and productivity data.
Provides high level of customer support to employees.
Assists with the salaries and benefits portion of the annual operating budget process.
Maintains records, processes, and acts as Administrative person for 401(k) retirement accounts for HHP.
Performs all other related duties as required or requested by the Human Resource Director.
Demonstrates understanding and commitment to the organization’s mission, vision, and values.

Position Qualifications: Education – Required: High school graduate or GED equivalent.
Proficient use of computers and 10-key calculator by touch.
Education – Preferred: Bookkeeping or accounting course work is preferred.
Minimum Experience: Must obtain three (3) to six (6) months on-the-job-training in accounting/payroll to perform proficiently.
Preferred Experience: A minimum of two (2) years previous accounting/payroll experience.
Competencies Required: Maintain the professional standards of the Accounting and Payroll department.
Have working knowledge of HHP policies and procedures related to accounting, payroll and accounts payable.
Neatly dressed, pleasing appearance and congenial personality is required.
Must maintain good public relations and communications with vendors, physicians, staff and other departments.
Generally establishes own work plan and priorities on a daily basis with given deadlines and established departmental policies and procedures.
Must respect the confidential nature of all information.
Physical Demands: Should be physically and emotionally able to handle irregular hours and stressful situations, with minimal absences.
Majority of work is performed in a sitting position.
Able to tolerate routine and repetitive tasks.
The position requires coordination, corrected vision, hearing, the use of two hands.
Must possess the ability to follow oral and written directions.
Must possess the ability to work with minimal supervision.
The position requires the successful completion of a background check and medical examination after offer of hire has been made.
The position requires the employee to be free of all unlawful substances and alcohol.
Work Environment: Administrative, office environment Work Schedule: Normally 32 hours per week.
Occasionally longer hours are required.
Must be willing to work according to organizational needs.
